It is a bit difficult to get your current state from your two posts. The forum states, those were written by different (similar) users, with nearly the same content. One sounds as if you have found your problem, the other doesn't.

We are doing it manually. I don't think it can be done in Polarion without programming something.

But of course you could create a wiki page that at least checks the work item state of a document semi-automatically.

AFAIK this is not possible per default. I think there is no dependency at all between document state and work item state, same with approval. My personal assumption is, that document state/approval is rather meant as an alternative to work item state/approval, not really depending on each other.
